Keep each pupil's contact details, lesson schedule, useful notes and payment status connected while protecting sensitive information.
Lessons are repeated work with important context
A driving instructor may see the same pupil every week, change pickup points, rearrange around tests and keep track of payments. A basic calendar holds the time, but it does not provide a dependable view of the relationship or the next action.
Create one record for each pupil and connect lessons to it. Keep contact details, normal pickup information and brief operational notes together. Avoid storing medical or other sensitive information unless it is necessary, lawful and properly protected.
Separate lesson status from payment status
Confirmed, completed and cancelled describe the lesson. Paid, part-paid and owed describe the money. Combining them in one colour or note makes it hard to answer simple questions later.
Update both states at the end of each lesson. If a pupil pays for a block, keep a clear, consistent record of what the payment covers and use proper accounting records alongside your day-to-day system.
Keep notes useful and proportionate
The best note helps prepare the next lesson. It is short, factual and easy to scan. A simple structure can keep the record consistent:
- What was practised during the lesson.
- One or two areas to revisit next time.
- Any agreed preparation or action.
- The planned date or focus of the next lesson.
Build a reliable weekly rhythm
Review the next day's lessons, pickup points and any tasks each evening. Check outstanding payments separately once or twice a week. This keeps customer-facing preparation calm without making money follow-up part of every lesson.
