How to manage a mobile valeting business without drowning in admin

Connect the customer, vehicle, location, service and payment so every job starts with the right information.

The job starts before you reach the vehicle

Mobile valeting combines customer service, travel planning, stock preparation and physical work. A booking needs more than a time: vehicle size, chosen package, condition notes, access to water or power, exact location and realistic duration can all affect the day.

Keep that information with the booking and customer rather than across a message thread and calendar title. When the next job opens, the useful context should already be there.

Use a consistent booking checklist

Collect only the details that change how you prepare or price the work. A short, repeatable process prevents last-minute surprises.

  • Customer name, mobile number and service address.
  • Vehicle type and any condition that affects the service.
  • Package, agreed price and expected duration.
  • Access, parking, water and electricity notes where relevant.
  • Confirmation status and preferred contact method.

Plan travel and supplies around confirmed work

Separate requested times from confirmed jobs. Group work by area when practical, but leave enough buffer for travel and vehicle condition. Add preparation tasks to the booking or day, such as restocking towels or charging equipment.

A task should be specific enough to complete. 'Get supplies' is vague; 'Refill interior cleaner before Thursday's Range Rover job' carries useful context and is easier to act on.

Close every job deliberately

When the valet is finished, mark the booking complete and record how payment was handled. If money is still owed, create a clear follow-up rather than relying on memory. Keep useful service notes for the next visit, but do not store unnecessary photographs or personal details.
