The client journey spans more than the shoot
A photography or video booking can include an enquiry, discovery call, date hold, contract, deposit, preparation, shoot, editing, delivery and final payment. The operational risk is losing the next action between email, calendar, notes and a project folder.
Use one client record and a clear booking for the confirmed service date. Keep the next action visible as a task. Contracts, raw files, galleries and detailed production schedules should remain in secure specialist systems built for them.
Make status language unambiguous
A tentative enquiry is not a confirmed shoot. A deposit paid is not a final balance paid. Delivery complete may still need a testimonial or archive task. Use separate labels for booking, work and money so the pipeline tells the truth.
For smaller portrait, content or event services, a simple connected system can be enough. Larger productions with crews, call sheets and equipment logistics need dedicated production management.
Build preparation around the booking
Create specific, dated tasks that reduce shoot-day uncertainty:
- Confirm location, access and the named contact.
- Check the agreed package, timings and deliverables.
- Prepare batteries, cards, lighting and backup equipment.
- Record any client preferences or accessibility needs that matter.
- Set the editing, proofing and delivery follow-ups before the shoot begins.
Close the loop after delivery
Record the final payment and complete the operational booking when the agreed work is delivered. Add a deliberate follow-up if you plan to request a review or offer a seasonal repeat service. Do not leave vague reminders in an inbox.
